Faxes Stuck in Pending / Not Sending or Receiving (USB Fax Modem)

Applies to: Practices using eMDs with Windows Fax and Scan and a USB fax modem.


Problem

Faxes stay in Pending and never send, or no faxes are received, even though:

  • The USB fax modem is installed and tests OK in Device Manager
  • Fax services and the server have been restarted.

Fix: Enable Send/Receive in Main Time Slot

In the Fax Manager, the modem can be placed on a schedule. In this case it was set to “never turn on,” so no faxes could send or receive.

  1. Open Fax Manager on the fax server/workstation.
  2. Go to Maintain Time Slots (or similar scheduling option).
  3. Select the Main Team Time Slot (or your active time slot).
  4. Make sure Send and Receive are both checked/enabled.
  5. Save/apply your changes.
  6. Restart the fax services if prompted (or if faxes still show as pending).

After this, faxes should begin to move from Pending to Processing and show as Sent or Received in Windows Fax and Scan.
