Installing UPDOX fax on a workstation
Installing Updox Print to Fax on a Windows computer
To enable outbound faxing from any Windows application, you will need to install the Updox Print to Fax printer. You will install Print to Fax on the main computer where you previously installed Updox Central. If you are unsure about how to find this, contact Updox Customer Support at support@updox.com.
Step 1 - Uninstalling previous Printers Select the Start menu and open the Control Panel. Depending on your version of Windows, there may be slight variations. Under “Uninstall Programs”, check to see if you have a previously installed version of Updox Print to Fax. If so, please uninstall these printers to prevent confusion. Important Note: Be certain not to uninstall the Updox Printer during this step. Print to Fax and the Updox Printer utilize separate drivers. Important Note: The Updox Printer does not replace Updox Central. Please do not uninstall Updox Central as part of this process.
Step 2 - Download Print to Fax Download Print to Fax from:
https://updox-fax.s3.us-east-2.amazo...]installer.zip
If you are running 32-bit Windows, please download from the link below:
https://updox-fax.s3.us-east-2.amazo...]installer.zip
After downloading the file, be certain to unzip the file to access the installers. This is done by right clicking on the zipped file, and clicking on “Extract all”.
Updox Print to Fax is installed in two pieces. The first installs the back-end functionality. The other piece installs the part of Print to Fax that you will actually interact with. Download both “Updox.Fax.Desktop.64.bit” and “updoxfax Setup”.
Step 3 – Install the print driver After you have downloaded both installers, select the one labelled “Updox.Fax.Desktop.64.bit”. A security alert may pop up, depending on your operating system. If so, click “More Info”, then click “Run Anyway”. That’s all there is to it.
The installer will handle everything else. When this install complete, you should have a new printer available in Windows entitled “Updox Print to Fax”.
Step 4 – Install the front end Select the installer labelled “updoxfax Setup”. There are likely some version numbers after the file name, but don’t worry about those. Double-click on the installer. The same security alert may pop up, depending on your operating system. If so, click “More Info”, then click “Run Anyway.”
Step 5 – Select your configurations At this point you can open the Updox Printer. If you see “Oh snap! No PDF specified”, not to worry. Nothing is wrong. You may also see a blue info box alerting you that an update is available. Go ahead and update the application by clicking “Install Now”. Open settings to configure the printer. Next, you will need to enter your integration key. The integration key is found in Updox at Menu > Admin > Practice Information. Entering your integration key will allow Updox to sync the printer with your Updox Address Book, as well as syncing your fax contacts. Copy the integration key from Updox and paste it into Print to Fax. Leave “Install updates on app exit” checked. This will allow Print to Fax to auto update when you close out of it. You will probably want to leave “Auto-close app after fax complete” checked as well, which will close the app when faxing is complete, saving you a click.
You may want to consider whether to check “Auto-delete printed file”. This function will delete a file from your computer after you send it via Print to Fax. If you aren’t certain that you want to do this (or if you are sharing the computer), you may want to err on the side of caution and uncheck the box.
The application theme is purely optional. This feature allows the user to change the cosmetic appearance of the application. If you don’t make any adjustments, the appearance will default to match your system settings.
In order to ensure that your credentials are correct, you can click the “test connection” button. Clicking this button will display your user and practice in a notification, allowing you to double check that you have entered everything correctly before proceeding. Once you have everything set up the way you like it, click on “Save”, then close the application.
Step 6 - Using Print to Fax When printing using Print to Fax, be sure to select “Updox Printer” as your printer. If you do not see “Print to Fax” on your list of printers, please reboot your computer. When you print into the Inbox, a small window will pop up to walk step by step through the process. The “Send to Fax” field is integrated with your Updox Address Book. You can search for any contact with a fax number in this field, selecting one or more recipient to send to. The “Send Fax From” field should reflect your Updox fax number. A dropdown is provided if you have more than one fax number to send from, to allow you to select the appropriate number. The “Include Cover Sheet” checkbox will appear if you haven’t elected to send coversheets automatically. You will be allowed to enter a subject, and either add a message template or compose a unique message. The Cover Sheet Style dropdown will allow you to select any coversheet from a list of those you have created. When you have everything configured to your satisfaction, click the “Send Fax” button to send your fax. When you send your fax, a small window will pop up to keep you informed of the sending process. In all likelihood, this window will disappear before you even have time to read it. But if errors are encountered, this window will specify where the process broke down, and what went wrong. This will make it much easier to troubleshoot any issues that occur. Faxed items will appear in the Updox Sent Folder with the blue “fax” banner.
